Club Officer Responsibilities


RESPONSIBILITIES OF OFFICERS


(Approved at the Annual General Meeting held on 1st September 2015)


PRESIDENT

Represent the Club at formal occasions

Chair the General & Committee Meetings


VICE - PRESIDENT

Stand-in for the President when necessary

Supervise awarding of trophies & awards at the AGM


SECRETARY

Be the prime contact for the Club

Maintain a list of Member’s details

Call & convene General & Committee Meetings

Record the minutes of General & Committee Meetings

Ensure all Club correspondence is replied to


TREASURER

Maintain records of all monies received & expended

Make available a Balance Sheet & Revenue Account

Set-up & maintain any necessary Bank Accounts

Collect subscriptions & pay Club expenses


WEB MASTER

Provide an on-going cost effective Club website

Keep records on website activity

Maintain the information held on the Club’s website

Promote use of the Club’s website by the Members


TOURNAMENT ORGANISER

Run all the Club’s internal competitions

Advise the Web Master of on-going competition plans & results

Communicate with Members of internal competition plans

Actively encourage Members participation in the Club’s competitions


EQUIPMENT OFFICER

Safeguard, & maintain an inventory of, the Club's equipment

Actively manage an on-going replacement programme

Ensure on-going stock of ancillary items such as score-sheets & adjournment envelopes


TEAM CAPTAINS

Select Members to represent the Club for scheduled matches

Consider contacting the opposing team's captain in advance of both home & away matches

Submit results promptly to the Competition Controller plus to the Web Masters for the Club

and, if appropriate, the Hampshire Chess Association Websites

Prior to Home matches, formally welcome the Away team
